How to set up Okta Multifactor Authentication

This guide will provide Peet’s business stakeholders with a detailed view of what actions Peet's RSRs will take to set up the Okta Multifactor Authentication.

Section 1: How to set up Okta Multifactor Authentication using Soti Surf

Please follow the steps outlined below to set up an Okta Verification method, using your Tablet and Soti Surf. If logging into Okta for the first time, you will be prompted to set up an Okta Multifactor Authentication method.

1. Tap Soti Surf from the Tablet Home Screen.
   
   
   
2. Tap Okta from the Soti Surf Home Screen.
   
   
   
3. Enter your Peet's Okta Username and Password, then tap Sign In.
   This information will be provided to you by DSD Support
   
   
   
4. You will be prompted to choose to set up multifactor authentication using:
   Okta Verify, SMS Authentication, or Voice Call Authentication.
   
   
5. What are the three enrollment verification options and what do they mean?
   Okta Verify: If Okta Verify is selected you will need to download the
   Okta Verify App on your mobile device. Once installed, launch Okta
   Verify and select add account, scan the QR code on your monitor
   using your mobile device camera, and you will see your account
   appear in the Okta Verify App. Enter the Okta Code from within the
   Okta Verify App on the mobile device into the Okta Verify Enter
   Code field, and select the Verify button. You will now be redirected
   to your MFA page and a checkmark will be visible next to the Okta
   Verify indicating you have successfully enrolled in the factor.
   
   SMS Authentication: If SMS Authentication is selected you will be
   instructed to input a mobile phone number where Okta can send
   you a code via SMS. After you enter your phone number select
   Send code. Your phone will receive a text message with a six-digit
   code, which you will enter in the “Enter code” field, and then click
   Verify. You will now be redirected to your MFA page and a checkmark will be visible next to SMS Authentication indicating you have successfully enrolled in the factor.
   
   Voice Call Authentication: If Voice Call Authentication is selected,
   you will be instructed to provide a phone number and select Call.
   Okta uses this phone number to call you and provide you with a
   numeric security code. Once you receive the security code,
   populate the code in the “Enter Code” field, and select Verify. You
   will now be redirected to your MFA page and a checkmark will be
   visible next to Voice Call Authentication indicating you have
   successfully enrolled in the factor.

Section 2: How to set up Okta Verify App

2a) How to set up Okta Verify App (Security Key Method)

1. Open Soti Surf from Tablet's Home Screen.
   
   
   
2. Tap Okta Tile from bookmarks.
   
   
   
3. Enter your Peet's Okta Username and Password, then tap Sign In.
   
   
   
4. If it is your first time logging into Okta. You will be presented with this screen to set up multifactor authentication. Please tap on the Set up button below Okta Verify.
   
   
   

5. Tap Android and then tap the Next button.

   
   

6. Tap Can't Scan
   
   
   

7. The Security Key is displayed that will be entered into the Okta Verify App.
   
   
   
8. Tap the Home Button.
   
   
   
9. From the Tablet's Home Screen tap Okta Verify to open the app.
   
   
   

10. Tap Get Started.
    
    
    

11. Tap Next.
    
    
    

12. Tap Add account.
    
    
    

13. Tap Organization.
    
    
    

14. It will prompt to Add an account from another device,
    Tap Skip
    
    

15. Tap Yes, ready to Scan, if prompted to allow Okta Verify to take pictures and record video, tap While using the app.
    
    
    

16. Tap the Enter Key Manually button. 
    
    
    

17. In the Enter Key screen enter the following:
    1) Peets Username - Example [e-mail]
    2) Type the Key or Paste the Key found in Step 9.
    Then tap the Add Account button.
    
    
    

18. Your account has now been added to Okta Verify App.
    Below is an example image of a verification code to enter during setup, 123345,
    DO NOT enter this code, use the code displayed on your device.
    This code refreshes every 30 seconds.
    
    
    

19. Tap the Home button on your Tablet and open Soti Surf.
    
    

20. Tap the Next button.

    
    
    

21. Enter the six-digit code displayed on your Okta Verify app and tap the Verify button.
    
    
    

22. Your Okta Verify App has now been configured!

Section 2b) How to Set Up Okta Verify App (QR Code Scanning Method)
**Please note, in order to set up the Okta Verify app using the QR Code Scanning method. The user will need access to a secondary device to log into Okta. A secondary device is required, as the Okta Verify app requires a QR code to be scanned. 

1. On the secondary device, open a web browser and navigate to https://peets.okta.com
   
   
2. Enter your Peet's Okta Username and Password, then tap Sign In.
   
   
   
3. If it is your first time logging into Okta. You will be presented with this screen to set up multifactor authentication. Please tap on the Set up button below Okta Verify.
   
   
   

4. Tap on Android.

   
   
   

5. Android, will provide a link to go to the Google Play Store. Once downloaded, tap the Next button.

   
   
   

6. Open the Okta Verify App on your device, and follow the directions on the screen. 
   
   

7. Tap Get Started
   
   
   

8. Tap Next
   
   
   

9. Tap Add account
   
   
   

10. Tap Organization.
    
    
    

11. It will prompt to Add an account from another device,
    Tap Skip
    
    

12. Tap Yes, ready to Scan, if prompted to allow Okta Verify to take pictures and record video, tap While using the app.
    
    
    

13. Scan the QR code that is displayed on your secondary device.
    
    
    

14. After the QR code is scanned, it will display Account added. Tap the Done button on your device.
    
    
    

15. On the secondary device, you are using to display the QR code, tap the Next button.

    
    
    

16. Enter the six-digit code displayed on your Okta Verify app and tap the Verify button.

17. The Okta Verify app is now set up. Tap the Finish button.

Section 3: How to set up Okta SMS (Text) Authentication 

1. Tap Set up below SMS Authentication. 
   
   
   
2. Enter the phone number that you want to receive Okta verification codes sent to and tap Send code.
   
   
   
3. Once the code is received, type the code into the Enter Code field and tap Verify.
   
   
   
4. SMS authentication is now set up, tap the Finish button.

Section 4: How to set up Okta Voice Call Authentication

1. Tap Set up below to Voice Call Authentication. 
   
   
   
2. Enter the phone number that you want to receive Okta verification phone call dialed to and tap Call.
   
   
   
3. Once the code is received via phone call, type the code into the Enter Code field and tap Verify.
   
   
4. Voice authentication is now set up, tap the Finish button.
