How to Communicate OTS using Single Sign On (SSO)

This guide will provide Peet’s business stakeholders a detailed view of what actions Peet's RSRs will use Single Sign On to Communicate OTS. This guide will also provide steps to the RSR's on How to Change or Set Up the Okta Multifactor Authentication.

Section 1: How to set up Okta Multifactor Authentication

Please follow the steps outlined below to set up an Okta Verification method, using your Tablet and Soti Surf. If logging into Okta for the first time, you will be prompted to set up an Okta Multifactor Authentication method.

1. Tap Soti Surf from the Tablet Home Screen.
   
   
   
2. Tap Okta from the Soti Surf Home Screen.
   
   
   
3. Enter your Peet's Okta Username and Password, then tap Sign In.
   This information will be provided to you by DSD Support
   
   
   
4. You will be prompted to choose to set up multifactor authentication using:
   Okta Verify, SMS Authentication, or Voice Call Authentication.
   
   
5. What are the three enrollment verification options and what do they mean?
   Okta Verify: If Okta Verify is selected you will need to download the
   Okta Verify App on your mobile device. Once installed, launch Okta
   Verify and select add account, scan the QR code on your monitor
   using your mobile device camera, and you will see your account
   appear in the Okta Verify App. Enter the Okta Code from within the
   Okta Verify App on the mobile device into the Okta Verify Enter
   Code field, and select the Verify button. You will now be redirected
   to your MFA page and a checkmark will be visible next to the Okta
   Verify indicating you have successfully enrolled in the factor.
   
   SMS Authentication: If SMS Authentication is selected you will be
   instructed to input a mobile phone number where Okta can send
   you a code via SMS. After you enter your phone number select
   Send code. Your phone will receive a text message with a six-digit
   code, which you will enter in the “Enter code” field, and then click
   Verify. You will now be redirected to your MFA page and a checkmark will be visible next to SMS Authentication indicating you have successfully enrolled in the factor.
   
   Voice Call Authentication: If Voice Call Authentication is selected,
   you will be instructed to provide a phone number and select Call.
   Okta uses this phone number to call you and provide you with a
   numeric security code. Once you receive the security code,
   populate the code in the “Enter Code” field, and select Verify. You
   will now be redirected to your MFA page and a checkmark will be
   visible next to Voice Call Authentication indicating you have
   successfully enrolled in the factor.

1a) How to set up Okta Verify App

*Note to set up the Okta Verify App, the user will need to log in to their Okta account using a secondary device in order to scan the QR code provided.

1. Tap Set up below Okta Verify. 
   
   
   
2. Tap on your device type, iPhone or Android.
   
   
   
3. If using an iPhone device it will provide a link to go to the Apple App Store. Once downloaded, tap the Next button.
   
   
   
4. If using an Android device it will provide a link to go to the Google Play Store. Once downloaded, tap the Next button.
   
   
   
5. Open the Okta Verify App on your iPhone or Android device, and follow the directions on the screen. 
   
   
6. Tap Get Started
   
   
   
7. Tap Next
   
   
   
8. Tap Add account
   
   
   
9. Tap Organization
   
   
   
10. Tap Yes, ready to Scan to scan your QR code, if prompted to allow Okta Verify to take pictures and record video, tap While using the app
    
    
    
    
11. After the QR code is scanned, it will display Account added. Tap the Done button on your device.
    
    
    
12. One the secondary device you are using to scan the QR code, tap the Next button.
    
    
    
13. Enter the six-digit code displayed on your app and tap Verify
    
    *Below is an example image of a verification code to enter during setup, 123345,
    DO NOT enter this code, use the code displayed on your device.
    
    
    
14. Okta Verify app is now set up. Tap the Finish button.

1b) How to set up Okta SMS (Text) Authentication 

1. Tap Set up below SMS Authentication. 
   
   
   
2. Enter the phone number that you want to receive Okta verification codes sent to and tap Send code.
   
   
   
3. Once the code is received, type the code into the Enter Code field and tap Verify.
   
   
   
4. SMS authentication is now set up, tap the Finish button.

1c) How to set up Okta Voice Call Authentication

1. Tap Set up below to Voice Call Authentication. 
   
   
   
2. Enter the phone number that you want to receive Okta verification phone call dialed to and tap Call.
   
   
   
3. Once the code is received via phone call, type the code into the Enter Code field and tap Verify.
   
   
   
4. Voice authentication is now set up, tap the Finish button.

How to Set Complete Set up of Peet's Okta Account

1.     a) Enter your Secondary e-mail account
        b) Choose a forgot password question
        c) Enter answer for selected forgot password question
   
   
2.  Choose a security image and tap the Create My Account button.

Section 2: How to Communicate OTS using Single Sign On

**Do not communicate OTS until you have completed your end-of-day on your previous mobile device.**

Please follow the steps outlined below to Communicate OTS using the new Single Sign-On method.

1. Tap OTS icon from Tablet Home Screen.
   
   
   
2. Tap Communication from OTS Main Menu.
   
   
   
3. All fields should be blank. Tap anywhere in the Settings section to open OTS Settings.
   
   
   
4. The OTS Communication Settings box will open.
   
   
   
5. Tap OmniTech Web Server to change the OTS Connection type.
   
   
   
6. Select Single Sign On from the Connection type options.
   
   
   
7. You will now notice that Single Sign On is the Connection type option selected.
   
   
   
8. Enter the following details in the OTS Communication Settings window:
   1. URL: https://cpg-dsd.peets.net:1443
   2. Location: Assigned Route Number
   3. Division: Assigned Route Number
   
   PLEASE NOTE THE URL IS: https://cpg-dsd.peets.net:1443
   
   
9. Once the URL, Location, and Division fields are populated tap the OK button.
   
   
   
10. Tap the Forward Arrow Communicate button on the top right of the screen.
    
    
    
11. You will be prompted to Log in to Okta, tap Okta - SAML option at the bottom of the screen.
    Please do not fill out any of the fields above the link, only tap the Okta - SAML link.
    
    
    
12.  Enter your Peet's Okta Username and Password, then tap Sign In.
    
    

    *Please note, you may see this screen after logging in for the first time if you do not have an Okta Multifactor Authentication configured, it will prompt you to configure that now.

    
    
    
13. Depending on the Okta Verification method you have configured, you will enter your Okta Verification code on this screen.
    In this example, we are using the Okta Verification Call method.
    Tap Call to receive the Okta Verify code, enter the code, and tap Verify.
    
    
    
14. OTS will communicate and have a green success bar.
    
    
    
15. Tap the Back Arrow Communication button on the top left screen.
    
    
    
16. You can now Begin Day as normal by tapping Begin Day.

    Section 3: How to Change Okta Password and Verification method

Please follow the steps outlined below to change your current Okta Verification method, using your Tablet and Soti Surf.

1. Tap Soti Surf from the Tablet Home Screen.
   
   
   
2. Tap Okta from the Soti Surf Home Screen.
   
   
   
3. Enter your Peet's Okta Username and Password, then tap Sign In.
   
   
   
4. Depending on the Okta Verification method you have previously configured, you will enter your Okta Verification code on this screen.
   In this example, we are using the Okta Verification Call method.
   Tap Call to receive the Okta Verify code, enter the code, and tap Verify. (If using Call Verification)
   
   
   
5. Once logged into Okta, tap your name on the top right of the Okta home screen.
   
   
   
6. Tap Settings.
   
   
   
7. You will now have access to your Okta Account settings.

3a) How to Change Okta Password

1. 1) Enter your current Okta Password
   2) Enter a new password
   3) Confirm the new password
   4) Tap the Change Password button
   *Please Note: Your new password must be At least 8 characters, A lowercase letter, An uppercase letter, A number, No parts of your username, or a password previously used.

3b) How to remove Okta Verification method

1.  In this example, the user has Voice Call Authentication as their Extra Verification method. To remove this, tap Remove.
   
   
2. Tap Yes to remove the authentication enrollment.
   
   
3. Now choose the method of Okta verification you would like to set up by tapping the Set Up button.

3c) How to set up Okta Verify App

 

1. Tap Set up next to Okta Verify. 
   
   
   
2. Tap on your device type, iPhone or Android.
   
   
   
3. If selected iPhone it will provide a link to go to the Apple App Store. Once downloaded, tap the Next button.
   
   
   
4. Android, will provide a link to go to the Google Play Store. Once downloaded, tap the Next button.
   
   
   
5. Open the Okta Verify App on your iPhone or Android device, and follow the directions on the screen. 
   
   
6. Tap Get Started
   
   
   
7. Tap Next
   
   
   
8. Tap Add account
   
   
   
9. Tap Organization
   
   
   
10. Tap Yes, ready to Scan, if prompted to allow Okta Verify to take pictures and record video, tap While using the app.

1. Tap Set up next to Voice Call Authentication.
